Who we are
ProverbAI LLC ("ProverbAI", "we", "us") makes ProverbAI, software that helps a college or university assessment office review program assessment plans each year.
This policy covers this website (proverbai.io) and the ProverbAI app (app.proverbai.io). It explains what information we collect, why, where it is kept, and the choices you have.
ProverbAI is in testing and has not yet been released to institutions. We will update this policy as the product changes.
This website
The Talk to us form
When you send the form, we collect your name, work email, institution and role; the accreditor or body you name, if you add one; and anything you write in the message box.
We use these details to reply to you, to talk with you about ProverbAI for your institution, and to keep a record of that conversation. ProverbAI has no mailing list, and no email is sent to you automatically.
Your message is saved in a database run by Cloudflare, our hosting provider. Only ProverbAI staff can see it. We keep it until it is no longer needed to talk with you, or until you ask us to delete it.
Protecting the form
To stop automated abuse, the form limits how often it can be sent from one IP address. Your IP address is used briefly for that check; our code does not save it with your message.
Visiting the site
This website has no analytics, advertising or tracking cookies, and it loads no third-party scripts. Our fonts are served from our own site. Like any website host, Cloudflare processes technical details such as your IP address and browser type to deliver pages and protect the site. If the website's code runs into an error, we keep a log of it so we can fix the problem. Our cookie policy has the details.
The ProverbAI app
Institutions use the ProverbAI app to run their yearly review of program assessment plans. Each institution has its own private workspace. Depending on how it is used, a workspace holds:
- Account details: each person's email address, which is how they sign in, and the name they choose to show.
- Roles and positions: who holds which role or program position, since when, and who gave it to them; and invitations, with the email invited and who sent them.
- Programs: the program catalog an institution imports. The workbook is read in the browser; only the program list in it is saved.
- Uploaded plans: each plan PDF, its file name and size, and who uploaded it and when. Plans often name faculty members and coordinators.
- Review results: the AI's answers to the review form with quotes from the plan, the score and rating, the feedback, and who checked them.
- Activity log: a record of changes in the workspace, such as uploads, approvals and handovers, with who made each change and when.
- Messages and profile photos, once those features are released.
Our sign-in provider also keeps records of sign-ins as part of its service.
On the institution's behalf
We process workspace information on behalf of the institution that uses ProverbAI, and under its instructions. The institution decides who is invited, what is uploaded and who can see it. If you use ProverbAI through your institution, your institution is the first place to ask about your information there. You can also write to us, and we will help or pass your request on.
Where it is stored
Workspace data is stored with Supabase, our database, sign-in and file storage provider, in the United States (on Amazon Web Services, US East). Our review engine runs on Cloudflare, which also keeps a working copy of each AI review's results.
The AI review
To review a plan, ProverbAI gives our AI provider, Anthropic, a link to the plan that expires after one hour, along with the program's name, degree level and college. Anthropic's model reads the plan and answers the review form.
ProverbAI does not use uploaded plans to train AI models.
How long we keep it
We have not yet set fixed retention periods for workspace data. Today it is kept for as long as the institution's workspace exists. Uploaded plans and the activity log are kept unchanged on purpose, so that each year's review can be traced.
We will agree retention, and what happens at the end of a subscription, with each institution. When we set standard periods, we will publish them here.
Student records
ProverbAI is built for program assessment plans: documents that describe a program's outcomes, measures and results. It is not built to hold student education records, and plans should not contain them.
Before uploading, remove student names, ID numbers, grades and samples of student work, or make sure they cannot identify anyone. Results reported as totals, such as how many students met a target, are what a plan needs.
Institutions stay in control of what they upload and who can see it. If your institution needs to include anything covered by FERPA, talk to us first so we can agree how it is handled.
Service providers
We use a small number of companies to run ProverbAI, and share information with them only so they can provide their service to us.
| Company | What it does for us | Information involved |
|---|---|---|
| Supabase | Database, sign-in and file storage, in the United States | Workspace data, account emails and uploaded plans |
| Cloudflare | Hosts the website and the app, and runs our code and review engine | Talk to us messages, technical request details, and AI review results while they are processed |
| Anthropic | The AI model that reads plans and answers the review form | Plans sent for review, with the program's name, degree level and college |
Sign-in codes are emailed through Supabase today. We plan to use a dedicated email delivery provider for sign-in codes and invitations, and we will name it here when we do.
We do not sell personal information or share it for advertising. We may disclose information when the law requires it.
Your choices and rights
You can ask us to show you the personal information we hold about you, to correct it, or to delete it. Write to hello@proverbai.io, and tell us how to reach you if it is not from the address we hold. We will respond as the law requires.
You can ask us to delete a Talk to us message at any time.
If your information is in an institution's workspace, we will work with that institution, because it decides how that information is used. The app does not yet let people delete their own accounts or plans, so we handle these requests by hand. Some records, such as the activity log, are kept on purpose; we will tell you what we can delete and why.
Depending on where you live, you may also have the right to complain to a data protection authority.
Security
Each institution's workspace is private. Access rules in the database deny everything by default and keep institutions apart, and automated tests check those rules on every change. Information travels over encrypted connections (HTTPS), and Supabase and Cloudflare encrypt the data they store for us as part of their standard service. People sign in with a one-time code sent to their email; there are no passwords.
No system is perfectly secure. If you think you have found a problem, write to hello@proverbai.io. Our security page has more detail.
Children
ProverbAI is for staff at colleges and universities. It is not meant for children, and we do not knowingly collect information from them. If you believe a child has sent us information, write to us and we will delete it.
Changes to this policy
We will update this policy as ProverbAI changes, and change the date at the top when we do. If a change is significant, we will say so on this page and tell the institutions we work with directly.
